Inventory Management
Intro
Inventory Management keeps your local catalog — products, variants, and stock quantities — matching Shopify. It listens to Shopify webhooks for product and inventory changes, backs them up with periodic polling, and lets you pull the whole catalog on demand.
Accurate local quantities matter for Scan & Ship verification, product reports, and the Bulk Editor.
Purpose
- Local product and variant data that matches Shopify
- Stock quantities that follow Shopify inventory-level changes at each location
- A history of every sync so you can see when the catalog last refreshed
What is inside
| Page | What it does |
|---|---|
| Dashboard | Counts, last sync, status, Sync now |
| Sync history | Every run — trigger, timing, counts, errors |
| Settings | Master switch, safety-net polling, Shopify webhooks |
Enable it
- Open Apps → Inventory Management → Settings.
- Turn on Enable Inventory Management. While off, Sync now is blocked and inventory-level webhooks are ignored.
- Leave Safety-net polling on — every 10 minutes it pulls recently updated products and variants in case a webhook was missed.
- Under Shopify webhooks, make sure the four managed topics are Active:
- Product created
- Product updated
- Product deleted
- Inventory level updated — refreshes quantities when available / on-hand stock changes at a location
- Save settings, then return to the Dashboard and click Sync now for the first full pull.
Dashboard
| Item | Meaning |
|---|---|
| Shopify products / variants | Counts reported by Shopify |
| Local products / variants | What StoresBoost has stored — should converge with the Shopify counts after a full sync |
| Last synced | Time of the most recent completed run |
| Status | Idle, Syncing… (products ✓, variants …), or the last run's status |
| Recent activity | Latest runs, with a link to Sync history |
If the banner says Inventory Management is disabled for this store, open Settings and enable it.
Sync now starts the same full product sync as Sync all products on the Products list — one run per store at a time, so if a sync is already going you are told so rather than starting a second one. The detailed Product sync report (phase progress, stop, skipped cleanup, individual product syncs) opens from the Products page and shows the trigger as Inventory Management for runs started here. Inventory-level webhooks appear on Webhook Status under Inventory; while the app is disabled they are logged there as Ignored — Inventory webhooks are disabled in Inventory Management settings.
Sync history
| Column | Meaning |
|---|---|
| Status | running · completed · failed |
| Trigger | manual (Sync now), scheduled (polling), webhook |
| Started / Finished | Timing |
| Products / Variants | Records processed |
| Error | Message when a run failed |
Who can use it
- Plan: included on Enterprise; other plans see an Upgrade badge.
- Permissions: View inventory management / Manage inventory management under Collaboration → Roles.
Troubleshooting
| Symptom | Check |
|---|---|
| Counts do not match Shopify | Run Sync now and wait for completed; check Error on the run |
| Quantities lag behind Shopify | Inventory level updated webhook Active? Polling on? |
| Webhooks show Off after reconnecting the store | Click Refresh, then re-enable each topic |
| Run failed | Open Sync history → Error; re-connect the store under Integration → Stores if it is an auth error |
