Draft Orders
Intro
A draft order is an order that does not exist on Shopify yet. Use it for phone sales, quotes, and internal orders. When you convert it, Shopify creates the live order and StoresBoost treats it like any other synced order.
Open Orders → Draft Orders. Creating and editing needs Manage draft orders. Basic does not include drafts. Pro and Enterprise include unlimited draft orders. Converting a draft creates the Shopify order. Orders and shipments stay unlimited on every plan.
Drafts are not the Awaiting queue. A converted draft shows up under Orders and gets shipments from the normal sync.
The list
| Column | What it shows |
|---|---|
| Order # | D# plus the draft number, and the date it was created |
| Customer | The customer on the draft. Click the name to open the draft |
| Items | How many lines it has |
| Further columns | Totals and whether it has already been converted |
Create New starts a draft. Adjust Inventory is separate from the draft: pick a product, a Location, a Value, and click Adjust. That changes available stock in Shopify. It does not add a line to a draft.
Search boxes, then Apply Filters:
| Box | Matches |
|---|---|
| Customer First Name | The customer's first name |
| Customer Last Name | The customer's last name |
| Order Notes | Text in the draft notes |
| Product SKU | A SKU on a line |
Show Completed Orders includes drafts that already became Shopify orders. Leave it off to see only drafts still waiting. Clear All resets the search and that checkbox. On a small screen, Show Search and Show Filters open those boxes.
The row menu:
| Action | What it does |
|---|---|
| Edit Draft Order | Opens the draft |
| View Details | Opens the same editor |
| View Activity | Activity History for D#…, with Order Activities and Item Activities |
| Delete | Removes the draft after you confirm. A converted Shopify order is not deleted with it |
An empty list offers Create Draft Order. If the list fails to load, Retry.
Create a draft
- Click Create New. The header is Create New Draft Order.
- Click Add Product (or Add Your First Product) and pick variants. Adding a variant that is already on the draft increases its quantity by one. Each new line reserves inventory.
- On each line:
| Column | What to set |
|---|---|
| Product | Name, variant, and SKU. The line menu can Remove it |
| Location | Which Shopify location the quantity comes from. Available under it is the stock at that location |
| Qty | How many |
| Price | The line price. Add a discount from the line: Type is Fixed or Percentage, plus Value and Reason. The discounted price shows in green. Clear the discount from the line to remove it |
| Actions | Line notes (a name and a note) and remove |
- On the side, Customer searches Shopify customers. A customer is optional. If they buy through a company, the company and location can be attached with the customer.
- Notes is free text for the order. Tags are Shopify tags on the draft.
- The summary shows item count, total quantity, and total price after line discounts.
- Create Draft stays disabled until there is at least one product. Saving with no customer is allowed. You land on the edit page, titled Edit (D#…).
Basic cannot create drafts. A plan that caps drafts shows a toast with the count and Upgrade Now. Pro and Enterprise do not cap them.
Edit
Save Draft writes product, customer, notes, and tag changes. Create Draft on a new draft and Save Draft on an existing one do not create the Shopify order.
A red alert N Products Deleted from Shopify means those variants no longer exist. They cannot be reserved or adjusted. Remove them before you convert.
Turn it into a Shopify order
- Click Create Order.
- The dialog Create Order / Create this draft order as a Shopify order has one switch: Fulfill Order Immediately — Automatically fulfill the order after creation. Leave it off if the warehouse should pack it in StoresBoost. Turn it on only when the goods have already gone out and Shopify should mark the order fulfilled now.
- Click Create Order in the dialog, or Cancel.
When it succeeds, the draft reloads and a banner says Edit is Disabled / This Draft order is converted to real shopify order. Save Draft and Create Order are disabled. Pack the live order under Shipments.
Shopify can refuse the conversion:
| Message | What to do |
|---|---|
| Cannot Create Order — all products deleted | Remove the deleted products |
| Cannot Create Order — invalid variant data | Remove or replace those lines |
| Shopify API Error | Try again later |
| Order Limit Reached | Only if a plan caps orders for the month. Basic, Pro, and Enterprise do not |
