Tags
Intro
Tags are colored labels you attach to orders (and separately to shipments) inside StoresBoost. They help your team mark meaning that status alone cannot capture — VIP, wholesale, fragile, wait-for-payment, gift, and so on.
Tags show as color marks on the Orders list and as named colored chips when you open an order.
Purpose
Use tags to:
- Flag special handling without changing fulfillment status
- Build filtered queues and Views (Filter → Tags)
- Drive automation, visibility, and reporting that look for tag names
- Keep a shared vocabulary across CS, packing, and managers
How tags help
| Without tags | With tags |
|---|---|
| Staff leave sticky notes or remember exceptions | Everyone sees the same flag on the order |
| Hard to pull “all wholesale awaiting” | Filter or save a view by tag in seconds |
| Status only says Unfulfilled / Fulfilled | Tags add why this order is different |
StoresBoost tags vs Shopify tags
This matters:
| StoresBoost tags (this feature) | Shopify / store tags | |
|---|---|---|
| Where you manage them | Advanced → Tags, or the list's Tags button (create / delete, New Tag while applying) | Shopify Admin |
| Where you apply them | Orders Tags button (and Shipments Tags) | Shopify |
| On the Orders list | Color marks + tooltip; filterable | Not shown as the Tags column |
| Synced automatically? | No — applying a StoresBoost tag does not write to Shopify | Shopify tags arrive on the order as internal external tags for some automations; they are not the same as your colored library |
Exception: Shipments → Settings → Merge Settings can optionally add a string tag on Shopify when orders are merged. That is separate from the Tags library described here.
Where the tag library lives
Open Advanced → Tags (needs Tags feature + permission).
There you can:
| Action | What it does |
|---|---|
| New Tag | Create a tag (name, color, active, optional group) |
| Edit / Delete | Change or remove a tag |
| Import CSV | Bulk create tags (name, optional color, optional active) — up to 500 rows per import |
| Groups | Organize tags; exclusive groups act like radio buttons (only one tag from the group on an order at a time) |
| Bulk delete | Delete several selected tags |
Tag fields
- Name — required, unique per store (max 60 characters)
- Color — required; used as the swatch on lists
- Active — inactive tags stay on orders that already have them, but are hidden from pickers and filters
- Group (optional) — if the group is exclusive, applying one tag from that group removes the others from the same group on that order
You can also click New Tag inside the Select Tags modal while tagging an order — useful for one-off labels without leaving Orders. And the Tags button works with nothing selected: it opens as Manage Tags, where you can create and delete tags directly from the list (see Manage tags from the list).
Apply tags on Orders
From the list (one or many orders)
- Open any Orders list.
- Select one or more orders (checkboxes).
- Click Tags.
- In Select Tags, search Search tags to add… and select chips.
- Create with New Tag if the label does not exist yet.
- Click Apply Tags.
Manage tags from the list
Tags is enabled even when nothing is selected. Clicked that way it opens as Manage Tags instead of Select Tags:
- New Tag — create a tag; it is ready to apply and shows in Filter → Tags immediately.
- Trash icon — delete a tag (needs Manage Tags permission). Inactive tags are listed here too, marked Inactive, so they can be removed.
- There is no Apply Tags button in this mode; select orders and click Tags again to apply.
Deleting a tag
The trash icon also appears in Select Tags. Before deleting, StoresBoost looks up where the tag is used and shows it in the confirmation: how many orders and shipments carry it, and which automation rules and routines reference it by name.
- Unused → Delete removes it.
- In use → Delete anyway removes it from every order and shipment and drops it from those rules and routines (a rule that only added this tag then does nothing). This cannot be undone.
Prefer Inactive when old orders should keep the label; delete only when the tag was a mistake or is truly finished.
From an open order
- Open the order.
- Click Tags in the toolbar.
- Select or remove chips → Apply Tags.
- Named colored chips appear under the order header.
How bulk apply behaves
When several orders are selected:
- The modal starts with tags that are common to all selected orders (intersection).
- Saving applies a diff: it adds/removes relative to that common set.
- Tags that exist on only some of the selected orders are left alone (not wiped).
- Clearing all chips and applying removes the tags that were common (on a single order, that can clear all StoresBoost tags).
Exclusive groups
If two tags share an exclusive group, applying one automatically removes the other from that order. Use this for states like “Payment OK” vs “Payment Hold” where only one should be true.
Filter orders by tag
- Click Filter on an Orders list.
- Open the Tags section.
- Search and select one or more active tags.
- Apply Filters.
Orders that have any of the selected tags are shown. Save the result as a View if the team will reuse it.
Order tags vs shipment tags
| Orders | Shipments | |
|---|---|---|
| Button | Tags on Orders | Tags on Shipments |
| Same library? | Yes — same names/colors from Advanced → Tags | Yes |
| Shared automatically? | No — tagging an order does not tag its shipments | Tagging a shipment does not tag the order |
Tag both if packing and CS need the flag in both places, or use automation rules to keep them aligned.
Permissions and plan
- View Tags — see the library and use pickers
- Manage Tags — create / edit / delete / import / groups in Advanced
- Edit orders — apply or remove tags on orders
- Tags may also require your plan’s Tags feature to be enabled
If Tags is missing or the picker is empty, ask an owner/admin to check plan features and your role.
Practical examples
| Tag | How teams use it |
|---|---|
VIP | View: Awaiting + tag VIP → pack first |
Wholesale | Filter + different documents / rates via automation |
Hold-payment | Exclusive with Payment-cleared so status is obvious |
Fragile | Visible to packers on the order; add on shipment too if needed |
Gift | CS and packing see gift messaging without reading notes |
Tips
- Prefer a short shared list of tags over dozens of one-offs.
- Use Inactive instead of delete when you are retiring a label but old orders still carry it.
- Name tags for the work (“Hold-payment”), not for people.
- Combine tags with Views so the queue is always one click away.
